This explains what personal data RentFair collects, why, and what your rights are. We've kept it in plain English.
Who we are
RentFair (rentfair.uk) is run by Mouad, trading as RentFair, Morocco. You can contact us at hello@rentfair.uk. We are the "controller" of your data under UK GDPR.
What we collect
- Your details: name and email address.
- Your rent notice: a photo or scan of your Section 13 notice (Form 4A) and the details in it (address, current and proposed rent, dates).
- Your home details: your answers about the property, its condition, repairs, and any photos you choose to upload.
- Payment: handled by our payment provider. We never see or store your card number.
- Website data: basic usage data and, only if you accept cookies, advertising/analytics cookies (for example the Meta Pixel).
Why we use it, and our legal basis
- To prepare your report and documents and to send you your deadline reminders. Basis: contract.
- To reply to your messages and handle refunds. Basis: contract and legitimate interests.
- To keep records for tax and accounting. Basis: legal obligation.
- To measure and improve our advertising and website. Basis: your consent (cookies).
We do not sell your data. We do not use your documents or photos for anything other than your own report.
Who we share it with
Only service providers that help us run RentFair: our payment provider, our form and file storage provider, our website host (Cloudflare), our email provider, and, if you accept cookies, Meta (for ad measurement). They may only use your data to provide their service to us.
Where it is processed
Some of our providers, and our own team, are outside the UK. Where data leaves the UK we rely on approved safeguards such as the UK International Data Transfer Agreement or equivalent standard contractual clauses.
How long we keep it
- Your uploaded documents and photos: deleted [90] days after your report is delivered, unless you ask us to delete them sooner.
- Your report and account email (so we can send deadline reminders): until the reminders are done, then deleted within [12] months.
- Payment and invoice records: up to 6 years, as required by tax law.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, move it to another provider, or withdraw consent at any time. Email hello@rentfair.uk and we'll reply within one month. If you're unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
We only set advertising or analytics cookies after you accept them. You can change your choice at any time by clearing your cookies.
Changes
If we change this policy we'll update the date above.
